Primary Responsibilities
- Invoicing support.
- Support a wide range of billable and non-billable tasks.
- Create, maintain, and update job books.
- Develop processes and procedures to streamline workflow.
- Proof read and word smith project deliverables.
- Greet and direct clients, guests, and contractors.
- Answer, screen, and transfer inbound phone calls.
- Coverage for the rest of the administrative group as needed.
- Assist with various company functions as needed (Events, Holiday Party, Meetings, etc.).
- Treat all company information and customer information in a confidential manner.
- Willing to work at any job assigned.
Knowledge and Skills Requirements
- 3+ years of hands on Administrative Assistant experience.
- Strong knowledge of QuickBooks software.
- Superior customer service skills and orientation.
- Communicate professionally in a clear and concise manner.
- High level of organizational skills.
- Able to prioritize responsibilities and tasks.
- Ability to plan and manage work under time constraints.
- Proactively spot improvement opportunities and take action.
- Quick to learn new procedures.
- Proficient with Microsoft Office, Outlook, Excel and PowerPoint.
- Knowledge of operation of standard office equipment.
- Knowledge of clerical and administrative procedures and systems.
- Knowledge of principles and practices of basic office management.
