Administrative Assistant

  Proficiency with Outlook in order to manage busy calendars, schedule meetings

• Able to set up meetings & teleconference calls using various types of technology, including: telepresence, video conferencing, teleconference, WebEx, etc… both domestic & internationally

• Arrange multi-location domestic and international travel arrangements and expense reports with accuracy and efficiency

• Produce accurate, properly formatted documents, PowerPoint projects, and Excel reports • Prepare meeting agendas, presentation

• Enable rapid SOW creation and project initiation along • Prepares and creates purchase orders as needed for all payables to vendors; • Tracking invoices to maintain updated team budgets • Effectively manage special projects and other duties as assigned • Accurately transcribes, types, formats and proof reads a wide variety of material (for example correspondence, invoices, contracts, meeting minutes, reports, speeches and presentations) using Microsoft office Required: 4-6 years administrative experience Pharma/Biotech industry Experience preferred Expert in Outlook Navigate Office Suite Handle large distribution lists • Available from 8: 00 – 5: 00 M-F with occasional flexibility • Two-year Associate Degree or proven equivalent experience • Demonstrated intermediate to advanced PC skills and ability including Microsoft office and other industry applications, e.g. Sharepoint and BOX • Keen understanding of professional and diplomatic interpersonal skills • An eye for detail, manage multiple projects/tasks simultaneously and effectively • Possesses general knowledge of working globally within a variety of cultures • Forward-looking, results oriented, focused/proactive thinker • Works well independently, but also works in a team setting • Flexible with a ' can-do' attitude
