Executive Assistant
Job Description
The Administrative Assistant provides high?level administrative and operational support to ensure efficient daily workflow across the organization. This role manages scheduling, communications, documentation, and office coordination while supporting team members and leadership. The ideal candidate is detail?oriented, proactive, and able to multitask effectively in a fast?paced environment.
Key Responsibilities Administrative & Office Management
- Manage calendars, coordinate meetings, and schedule appointments.
- Prepare, edit, and format correspondence, reports, presentations, and other documents.
- Maintain organized filing systems (electronic and physical).
- Answer and direct phone calls; greet and assist visitors in a professional manner.
- Handle incoming and outgoing mail, packages, and deliveries.
- Support meeting preparation, agendas, and follow?up actions.
- Assist with onboarding and internal administrative processes.
- Manage office supply inventory and coordinate procurement as needed.
- Assist with travel arrangements, itineraries, and logistics.
- Update spreadsheets, databases, and internal systems with accuracy and attention to detail.
- Serve as a liaison between departments, staff, and external partners.
- Maintain a high level of confidentiality and professionalism at all times.
- Support internal communications and information flow.
- Assist in planning and executing company meetings, events, and activities.
Qualifications
- Bachelor’s degree required (Business Administration, Communications, or related field preferred).
- 1+ years of administrative or office support experience.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong written and verbal communication skills.
- Excellent organizational skills with the ability to prioritize multiple tasks.
- Demonstrated attention to detail and ability to work independently or in a team setting.
- Ability to handle sensitive and confidential information.
Preferred Skills
- Experience supporting executives or multiple leaders.
- Familiarity with office equipment and conferencing tools.
- Experience with CRM or project/task management systems.
