Operations Administrator
Job Description
Our client is seeking an Operations Administrator for an exciting contract to hire scenario.
Pay: $24.00 - $26.00 per hour
DUTIES:
- Project management for system enhancements and updates (examples are our Operations Manual and Resource Library of documents)
- General bookkeeping. (paying bills and collecting fees due to us)
- Financial reporting (monthly, quarterly and annually) with knowledge of Excel spreadsheets.
- Tracking of legal agreements for onboarding, renewals, compliance and termination.
- Onboarding new location, system set up and making sure all requirements are met.
- Assisting the Executive Team with projects and day-to-day tasks.
- Collaboration with other departments and vendors to improve efficiency, deploy new procedures, enhance customer and staff experiences, and create system communications.
- Managing document storage platforms used for internal and external documents, marketing assets and proprietary information.
- Evaluate, simplify, and document processes and checklists on an ongoing basis.
- Calendar management for Home Office events, meetings, and office closed/holidays.
- Execution of Home Office Events: including planning of the details and execution of the event. (Monthly candidate visits, Home Office training throughout the year and annual convention)
- Assist in vendor relationships, processes and communications.
- Assist as needed with answering phones, daily shipping orders and Help Desk tickets.
REQUIREMENTS:
- 2+ years of Operations Administrator experience.
- High attention to detail, ability to multi-task, intuitive, organized and flexible in changing tasks or needs of the day.
- Trustworthy as you will initiate wire transfers and fee debits each month.
- Strong communication skills (verbal and written).
- Technology savvy (willing and able to learn new platforms, basic backend editing/tweaking).
- Comfortable with Office 365 Suite.
- Comfortable working with and communicating with licensees all around the world.
