POSITION:                 Payroll Assistant

REPORTS TO:           Director of Payroll

FLSA STATUS:         Non-Exempt

TYPE:                         Regular full-time

 

Job Summary:

The Payroll Assistant performs a variety of routine office/clerical duties by assisting the Payroll team in the efficient operation of processing payroll for multiple companies. Performs duties related to payroll operations, including maintaining payroll records, calculating employee pay and assisting with payroll processing in accordance with Federal, State, and local laws.

 

 

Essential Duties and Responsibilities:
  • Assist Payroll Specialists with bi-weekly payroll processing
  • Enter new hires, update changes and enter terminations in the Payroll System
  • Audit timecards for discrepancies and contacts the employee to obtain resolution and document as appropriate
  • Approve timecards
  • Attendance point tracking and reporting to managers
  • Run biweekly and month end reports from payroll system
  • Calculate employee pay manually when needed
  • Enter and process garnishments
  • Process manual paychecks
  • Answer employee inquires
  • Complete employment verifications (date of hire, date of separation, wages, job title)
  • Scan documents and store electronically
  • Work with staff and management on payroll related queries
  • Special projects as requested

 

 

Minimum Qualifications:
  • Must read, write and speak English
  • Prior payroll processing experience required - UltiPro, ADP or Paychex Flex experience preferred
  • Strong attention to detail, organizational skill, willingness to learn, strong team player
  • Flexibility to do whatever it takes to meet deadlines and get the job done
  • Must be a high school graduate (or GED)
  • Must be computer literate
  • Strong Outlook, Excel and Word skills
  • Must maintain thorough understanding of all company policies and procedures
  • Excellent communication skills, both written and verbal
  • Numerical ability and data entry skills
  • Ability to read and interpret union contracts
  • Customer service focus
  • Strong understanding of wage and hour laws (state and federal)

 

 

Other Requirements:
  • Knowledge of payroll laws and regulations strongly preferred
  • Read and interpret documents and reports
  • Write routine reports and correspondence
  • Maintain accurate and organized records
  • Ability to assume responsibility for assignments and to perform them in accordance with minimal supervision
  • Use computer software programs and/or other applications
  • Excellent planning and organizing
  • Quick decision-making skills, stress tolerance and team work abilities
  • Must be available to work overtime

 

 

Physical Requirements:

 
  • Must be able to sit for an extended period of time
  • Requires frequent repetitive hand movements, standing, walking, reaching and grasping
  • Must be able to hear and communicate clearly to perform job duties in person and over the telephone
  • Adequate vision required to be able to read information from printed sources and computer screens
